JOB TITLE: Development and Fundraising Coordinator

PROGRAM: ADMINISTRATION

RESPONSIBILITIES:

  1. Fundraising & Campaign Support
    • Assist and participate in planning and executing annual fundraising campaigns
    • Track campaign performance and generate reports
    • Support donor cultivation and stewardship strategies
  2. Donor Relations & Database Management
    • Maintain and update donor database (e.g., CRM system)
    • Process gifts, issue acknowledgments, and ensure timely donor recognition
    • Segment donor lists for targeted outreach
    • Ensure data accuracy and confidentiality
  3. Grant & Research Support
    • Conduct prospect research on foundations, corporations, and individual donors
    • Assist with grant applications, reports, and supporting materials
    • Maintain a grant calendar and deadlines
  4. Events & Engagement
    • Coordinate logistics for fundraising events and fundraising marketing (Bike Rally, Give Local York, Night on the Terrace)
    • Plan annual meeting in conjunction with CEO and CAO
    • Support volunteer engagement related to development activities
    • Assist with sponsorship outreach and fulfillment
    • Represent the organization by attending community events.
  5. Communications
    • Draft donor communications, including emails, Here @ Home monthly Development corner and appeal letters
    • Participate in appropriate communication and collaboration with the Marketing and Fundraising Coordinator and between the programs, organizational team members, administrations
    • Collaborate with marketing/communications team members to align messaging
    • Help manage social media or website updates related to fundraising
  6. Educational Improvement Tax Credit (EITC)
    • Administer EITC program activities in alignment with state guidelines and requirements
    • Review and process organizations applications for tax credit eligibility through the eGrants system
    • Ensure compliance with Pennsylvania tax credit policies, timelines, and reporting standards
    • Monitor contributions and verify documentation within required deadlines (e.g., proof of contribution within 90 days)
    • Serve as liaison between businesses, scholarship organizations, and educational improvement organizations
    • Provide technical assistance to applicants regarding eligibility, application procedures, and program requirements
    • Coordinate with internal teams and external partners to support program implementation
    • Collect and maintain detailed program data, including scholarship amounts, student eligibility, and school information
    • Prepare reports in compliance with annual and upcoming state reporting requirements (e.g., scholarship recipient data, award amounts)
    • Support audits, evaluations, and transparency initiatives
    • Promote EITC participation among eligible Pennsylvania businesses and organizations
    • Develop outreach strategies to increase program awareness and participation
    • Represent the program at meetings, events, and informational sessions
    • Maintain up-to-date knowledge of EITC policies, eligibility criteria, and funding structures
    • Educate stakeholders on how contributions support scholarships and innovative educational programs
    • Provide guidance on application timelines and funding cycles
  7. Administrative
    • Provide general administrative support to the development team
    • Maintain organized records of donor interactions and fundraising activities
    • Assist with budgeting and expense tracking for development initiatives
    • Order and manage inventory of Marketing and Development materials.
    • Coordinates CHOY gym rentals.
      • This includes managing all rental agreements and saving them in the development file.
      • Maintain the online gym calendar and schedule the spots that renter reserve.
      • Control the distribution and return of the gym rental keys/fobs.
      • Collect the rental amount for the gym.
    • Represents department on assigned committees and work groups
    • Attend weekly supervision meetings
    • Complete other tasks as assigned

Qualifications:

Required

  • Bachelor’s degree or equivalent experience
  • 1–3 years of experience in fundraising, nonprofit development, or related field
  • Strong organizational and project management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)

Preferred

  • Experience with donor databases/CRMs
  • Familiarity with grant writing and fundraising best practices
  • Event planning experience
  • Passion for the organization’s mission
