JOB TITLE: Administrative Assistant
LOCATION: BRIDGES Partial Hospitalization Program and Spark Center

RESPONSIBILITES:
This is a blended administrative position, split between BRIDGES PHP and Spark Center. Monday, Tuesday, Thursday and Friday would follow a schedule of 7:30 AM – 3:30 PM. Wednesday’s schedule would be 10:00 AM – 6:00 PM.

Administrative tasks for both programs would primarily take place at BRIDGES PHP except for Wednesday afternoons, which would be at Spark Center.

  1. Complies with all Agency and Program policies, procedures and protocols in a professional and ethical manner.
  2. Prepares and completes required reports and documentation, maintains files and records, and performs other required administrative tasks assigned in accordance with regulatory guidelines.
    • Prepares intake packets and other program documentation
    • Completes and submits record requests
    • Assists in the referral process by requesting information for clients before admission
    • Assists in discharge process by scheduling aftercare appointments
    • Completes record reviews as requested
    • Coordinates BRIDGES client transportation with school district / LIU
    • Coordinates communication of insurance coverage, authorization, and billing procedures
    • Completes assigned tasks in the electronic health record
  3. Supports appropriate communication between the Agency and its visitors, clients and other outside contacts.
    • Answer program phone and provide program information and direct calls to appropriate team member
    • Answer the front door and direct visitors to appropriate team member

ESSENTIAL FUNCTIONS OF THE JOB:

  1. Ability to intermittently stand and sit
  2. Pushing, pulling, lifting, and carrying as required
  3. Must be able to describe and articulate events in both written and spoken English
  4. Must be able to read and comprehend reports written in English
  5. Has the mental and emotional capacity to work in a highly stressful environment

QUALIFICATIONS:

  1. High school diploma required
  2. Successful work history of 3 years or more preferred
  3. Good written and verbal communication skills
  4. 21 years of age or older
  5. All required clearances
  6. Be sensitive to and comfortable with working in an agency that provides psychiatric residential treatment services to a culturally diverse population
